Privacy Policy

This policy explains what we collect, why we collect it, who sees it, and how to get it corrected or deleted.

The short version

  • We never sell your personal information.
  • Card details go straight to Stripe. We never see your full card number.
  • We use public business information to prepare personal pages and introductions for professionals, and nothing sensitive.
  • Your personal page is private, unlisted and removed on request.
  • Unsubscribe from any email in one click. Ask us to delete your data at press@vertropic.com.

1. Who we are

Vertex Media & Commerce LLC, doing business as Vertropic ("we", "us"), is the controller of the personal information described in this policy. It covers vertropic.com, the personal pages we prepare for professionals, our emails and calls, and our services. Contact: press@vertropic.com.

2. Information we collect

Information you give us:

  • Contact details: name, email, phone, company or brokerage, and job title.
  • Order details: billing name and address, the plan you chose and your order history. Card details are entered directly with Stripe; we never receive your full card number.
  • Release content: your bio, headshot, listings, links, quotes and anything else you send us for your release, and your approval of the final draft.
  • Messages: emails, call notes, form submissions, chat messages and scheduling details.

Information from public and business sources: to prepare a personal page or an introductory email for a professional, we use business information that is publicly available, such as your name, professional title, brokerage or company, public listings and sales statistics, public business contact details, and what appears when your name is searched. We use only business information, never sensitive personal information.

Information collected automatically: IP address, browser and device type, pages viewed, referring pages, approximate location derived from IP, and whether you opened an email or clicked a link, collected through cookies, pixels and server logs.

3. How we use it

  • To prepare, write, publish and report on releases you buy, and to process payments and refunds.
  • To contact professionals with an introduction relevant to their business, and to follow up.
  • To answer questions, schedule calls and provide support.
  • To operate, secure and improve the Site, including preventing fraud and abuse.
  • To meet legal, tax and accounting obligations, and to establish or defend legal claims, including payment disputes.

4. Legal bases

Where the law requires a legal basis, we rely on performing our contract with you, our legitimate interests in running and promoting our business (balanced against your rights), your consent where we ask for it, and our legal obligations.

5. Personal pages

A personal page prepared for you sits at a private, unguessable address, is excluded from search engines and is shared only with you. It may show a draft release and the public search results for your name. Ask us at press@vertropic.com and we will take it down within five business days.

6. Who we share it with

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only with:

  • News publishers and newswires, which receive the release you approved, and only that release, for publication.
  • Service providers acting for us under contract: payment processing (Stripe), hosting (Vercel), content management (Sanity), email and productivity (Google Workspace), email outreach (Instantly), scheduling, analytics and customer-support chat.
  • Professional advisers, and authorities where the law requires it or to protect our rights, users or the public.
  • A buyer or successor if our business is sold or merged, under this policy.

Once a release is published, it is public by design and is hosted by the publishers under their own policies.

7. Cookies and tracking

We use essential cookies to run the Site and analytics cookies to understand how it is used. Our emails may contain a pixel that tells us whether the email was opened. You can block cookies in your browser and images in your email client. We honor Global Privacy Control signals as an opt-out where the law requires it.

8. Emails and calls

Every marketing email includes an unsubscribe link and our postal address, and we honor opt-outs promptly. You can also reply "unsubscribe" or email press@vertropic.com. We will still send messages about an order you placed. Reply STOP to any text message to stop texts.

9. How long we keep it

  • Order, payment and approval records: seven years, for tax, accounting and dispute purposes.
  • Release content: for as long as the release is published, so we can support you with it.
  • Prospect information for professionals who have not bought: up to 24 months from our last contact, or until you ask us to delete it.
  • Opt-out records: indefinitely, so we never contact you again by mistake.

10. Security

We use encryption in transit, restricted access on a need-to-know basis, and providers with recognized security programs. No system is perfectly secure; if a breach affects your information, we will notify you as required by law.

11. Your rights

Depending on where you live, including California and other U.S. states with privacy laws, the EU, the UK and Canada, you may have the right to:

  • know what personal information we hold about you and receive a copy;
  • correct it;
  • delete it;
  • opt out of marketing and of any sale or sharing (we do neither);
  • object to or restrict certain processing, and withdraw consent; and
  • appeal our decision on your request, and complain to your data-protection authority.

Email press@vertropic.com with your request. We verify your identity before acting, answer within 45 days (or sooner where the law requires), and never treat you differently for exercising your rights. An authorized agent may make a request for you with your signed permission.

12. International transfers

We are based in the United States, and our providers process data in the United States and other countries. Where the law requires it, we rely on appropriate safeguards such as standard contractual clauses.

13. Children

Our services are for business professionals. We do not knowingly collect information from anyone under 16; if we learn we have, we delete it.

14. Changes to this policy

We will post any changes here and update the date at the top. If a change is material, we will tell clients by email before it takes effect.
